Office of the Registrar
Welcome to the Office of the Registrar. Our office is responsible for maintenance of academic
records (i.e. grades, attendance, and enrollment), processing Academy of Art University
transcripts, enrollment verifications, transfer credits, and monitoring academic status, progress,
and graduation. Hopefully, this page will answer your questions; if not, please give us a call or

Grades
The Academy does not mail out hard copies of grades; you must login to Student Self-Service to
see your midterm and final grades. For questions about your Student Self-Service user ID and
password, please contact Student Services at 415-618-6508.
Enrollment Verification
Enrollment Verifications can be used to prove enrollment for various reasons such as health or
car insurance, loan deferment, or employment.
How to Order:
- Download, print, complete and sign the Enrollment Verification form OR
- Order in person at the Office of the Registrar
- We do not send electronic copies of Enrollment Verifications
You may pick up the Enrollment Verification or have it mailed. There is no fee for this
service.
Note: We can only verify enrollment for the semesters you attended the Academy. If
you are not currently enrolled we cannot verify your enrollment.
Loan Deferment
Request an in-school deferment form from your loan company, or download a form from their
website. Fill out and submit the form to the Office of the Registrar. We will complete the school
section, and send the form to the loan company (be sure to provide the loan company's address).
Note: We can only verify enrollment for the semesters you attended the Academy. If
you are not currently enrolled we cannot verify your enrollment.
Transcripts
Official transcripts contain academic records, including grades and dates of attendance. Current
students may view and print their grades and unofficial transcripts through Student
Self-Service.
How to Order:
- Download, print and complete the Transcript Request form OR
- Order in person at the Office of the Registrar
- We do not send electronic copies of transcripts
Transcripts cannot be ordered by email or over the phone; your signature is required to release
your transcripts.
Payment:
Official transcripts are $10.00 for the first copy and $2.00 for each additional copy on the
same order. Payment can be made by check, money order, cash or Visa/MasterCard. Follow payment
instructions on form. Unofficial transcripts are free.
Timeline:
Transcripts can take up to one week to process -
NO EXCEPTIONS. We do not offer a rush service. Requests may take longer at the end
of each semester after grades post. If you are concerned about having your transcript ready by a
certain date, please submit your request early.
Delivery:

Mail: Transcripts may be mailed to another school or institution; write the
receiving institution's address in the space provided on the form.

Pick up: Transcripts may be picked up at the Office of the Registrar, please check
the box on the form. If a friend will pick up your transcripts, we must receive a signed statement
in advance indicating who is picking up your documents. Be sure your friend has her/his ID.
Official Transcripts:
To remain official, transcripts must remain in the sealed envelope from the generating
institution. If you are curious what your transcripts looks like, you can view it on Student Self
Service or order an unofficial transcript.
Unofficial Transcripts:
- Print from your Student Self Service (for questions about your Student Self-Service User ID and
Password, please contact Student Services at 415-618-6500), OR
- Order using the Transcript Request form

Note: Only official transcripts are acceptable as proof of graduation and transfer
evaluation.
Diploma
Diplomas are mailed 8 to 10 weeks after final grades post. If you would prefer to pick up your
diploma, contact the Office of the Registrar at 415-618-6454 or
records@academyart.edu. We will contact you when your
diploma is ready. If a friend will pick up your diploma we must receive a signed statement in
advance indicating who is picking up your documents. Be sure your friend has her/his ID.
